Show Guidelines
Once your show is confirmed with us, you CANNOT play a show within a 26.2-mile radius three weeks prior and two weeks after your show at Cafe 939. This is how the Boston music scene ebbs and flows. Be kind.

Fax or email us a signed W-9 form (irs.gov) at least two weeks before the date of your show. We need this in order to pay you! Checks will not be ready on the day of the show if we have not received your W-9 by the two-week deadline.

Contracts/Riders
We will issue you the Cafe 939 artist contract/agreement. Please sign and return it via email or fax (617 747-2120). If you have a contract and/or rider send it to us and we will sign and return it you. There may be some rider requests that we cannot accommodate and that are nonnegotiable.

Advancing Your Show
Do this no later than three weeks prior to your show. This is done by contacting Cafe 939's production manager Lauren Caso at lcaso@berklee.edu and submitting your stage plot and input list. If you do not have a stage plot, please make one using the attached form. It is only to your advantage and will take just a few minutes to create.

Comp Tickets/Hospitality
These items are negotiated upon show confirmation between you and your talent buyer. They will be listed in your contract/agreement. Please review this portion of your contract/agreement before you arrive at the venue.

Promotion
Please complete the following

  • Immediately upon confirmation, email a two-to-three-sentence description and a 300-dpi color jpeg of your artist/band to 939promo@berklee.edu.
  • CREATE A POSTER/FLYER/HANDBILL! You are required to snail-mail us 15 flyers/posters to Cafe 939 attn: Promo Team, 939 Boylston Street, Boston, MA 02115. Make sure they are catchy, colorful, and unique. Please leave show time/venue/ticket price/show date blank. Our promo team will prepare them properly. Please be tasteful with your flyers, as we are an all-ages venue.
  • Post the show on your Myspace page and website, and include the ticket link for your fans to purchase advance tickets. Ask your talent buyer for the on-sale date and ticket link for your show.
  • Reach out to local media (publications, radio, etc.) and keep us apprised of your efforts.
  • Please include ticketing information on all outgoing online promotion and encourage your fans to get their tickets early, as space and seating are limited. Tickets are always available in advance at ticketmaster.com or at any Ticketmaster outlets.

Additional Promotion Recommendations
Promoting your show at Cafe 939 is a two-way street. We do anything and everything to get the word out about our events. However, it is your responsibility as the performer to promote your show. Our promotional efforts include weekly advertisements in the Phoenix and the Weekly Dig; weekly online announcements and postings within the Berklee community; and weekly press releases and write-ups sent to the Improper Bostonian, stuff@night, the Boston Globe, Berklee's student paper the Groove, the Boston Herald, and other publications, editors, and local writers. We also work with numerous local radio stations.

We ask artists to send us posters and other promotional materials. We are happy to put them up around the Berklee campus and the City of Boston. When promoting your show at Cafe 939, please honor the city's laws for posting bills and flyers. Berklee is not responsible for and will not pay fines associated with illegal flyering. It is important to respect our beloved city and keep it clean and beautiful.

We are more than willing to do our part, but we need your help in reaching the public. Please help us help you have a wildly successful, well-attended show.

General Rules and Regulations

  • Respect the space! We are a new venue. Deliberately damaging Cafe 939's equipment or facility will jeopardize your payment and any possibility of a repeat booking.
  • Hospitality varies from show to show. This is negotiated upon show confirmation.
  • Comp tickets will be negotiated upon show confirmation. This is a non-negotiable number; the venue must receive your guest list one half-hour prior to doors. Any press, media, or labels must present credentials at venue box office to gain admittance.
  • The venue never covers parking, transportation, or hotel accommodations. Please park your vehicle in a legal parking space or garage. Cafe 939 is not responsible for any lost/stolen belongings inside or outside the venue.
  • Load-in and sound check time lines are decided by Cafe 939's production staff and discussed upon advancement of your show. Please arrive promptly at your designated load-in time. If you arrive late, your sound check could be compromised. So please plan ahead!
  • Cafe 939 is an ALL-AGES, DRY venue. Alcohol is not permitted inside our doors. This includes our green room! No artist, at no matter what level, will be allowed to drink in the green room. This policy is mandated by our license issued by the City of Boston. If alcohol is found in our green room we reserve the right to discard it. Any artist who breaches this policy may not be considered to perform again and will compromise their paycheck. It just doesn't compare to having your fans' undivided attention on you and your music. However, the Cactus Club is our neighbor and they are happy to have your business if you want a pre- or post-show cocktail.
